Purpose

The purpose of this documentation is to outline the processes and requirements associated with reporting new hires in the state of Arkansas.

New Hire Reporting

Employers are required to submit their new hire reports within 20 days after the employee is hired or re-hired or returns to work. Employers who submit reports magnetically or electronically shall submit the reports in two monthly transmissions not more than sixteen days apart.

Re-hires or Re-called employees: Employers must report re-hires, or employees who return to work after being laid off, furloughed, separated, granted a leave without pay, or terminated from employment for 60 days or more. Employers must also report any employee who remains on the payroll during a break in service or gap in pay, and then returns to work. A rehired employee includes any individual who has been separated from employment for 60 consecutive days. This includes teachers, substitutes, seasonal workers, etc.

You'll need the following information for each new hire:

  • Employee's full name

  • Employee's address

  • Employee's Social Security Number

  • Employee's state of hire (only if reporting as a Multistate employer)

  • Employee's actual start date

  • Employer's name

  • Employer's address

  • Employer's Federal Employer Identification Number (FEIN). If you have more than one FEIN, please make certain you use the same FEIN you use to report your quarterly wage information when reporting new hires. 

The following information is optional for you to provide:

  • Employee's date of birth

  • Employee's state of hire

  • Employer's phone number

  • Employer's fax number

  • Employer's email address

You can report new hires in several ways. The fastest way is through the Arkansas New Hire Reporting Center website. Once there, click REGISTER

You also have the option to report electronically. You can do so through the Arkansas New Hire Reporting Center or by submitting an electronic report via Secure Web Transfer, Secure File Transfer Protocol (SFTP), or CD-R. CD-Rs can be mailed to the address below. Please refer to the Electronic Reporting page for detailed information on how to submit electronically. 

If you use a payroll or accounting service, you can ask the service to submit new hire reports for you. 

You can also fill out the Arkansas New Hire Reporting Form,  submit a printed list containing all the required information on the New Hire Reporting Form, or submit a W-4 as a new hire report. Mail or fax non-electronic reports to the following address:
