Purpose

The purpose of this documentation is to outline the processes and requirements associated with reporting newly hired employees in the state of Nevada.

New Hire Reporting

Federal law requires all employers to report certain information on newly hired employees to a designated state agency. A newly hired employee is defined as:

  • Someone not previously employed by the employer; or

  • A person being rehired who was previously employed by the employer, but has separated from the employer for at least 60 consecutive days. 

Required information must be reported within 20 days of hire (or rehire after at lease 60 consecutive days of separation from your employment).

The method of reporting is at the discretion of the employer; a specific form is not required.

  • Secure File Transfer Protocol is preferred.

  • Copies of W-4 Forms may be mailed or faxed to the Employment Security Division.

  • New Hire Reporting Form for Fax or Mail-in

  • Written information in any format is acceptable, as long as it contains the seven data elements (Employee's Full Name, Social Security Number, Address, Employer's EIN, Employer's Name, Employer's Address, Employee's Start Date.)
